Pay: This position pays the pro rata share of an annual salary of $50,000.
About the Position
The Active Transportation Alliance produces several events each year, including one of the nation’s largest biking events, Bike the Drive, held over Labor Day weekend. Candidates should have an interest in event management, vendor coordination, event production and logistics. There will be some travel around the city and region, requiring some (varied) evenings each month and occasional weekends, including Labor Day weekend.

About the Role – Key Accountabilities

Production & Logistics Management
-
Serve as a production leader at all events: helping with set-up/tear down, packing supplies, liaison with vendors, guiding staff and volunteers, and supporting event logistics.

Work with Associate Director of Events to coordinate necessary rentals as needed for site needs.

Assist with event supply inventory at storage unit & office, ordering supplies as necessary.

Lead food vendor and exhibitor outreach as necessary.

Assist with event production duties and related vendor communications.

Supervise interns, seasonal hires and volunteers assigned to your area.

Vendor and Exhibitor Communications

Communicate with and field inquiries from vendors, exhibitors, and sponsors concerning the festival logistics and load-in instructions.

Work alongside the Operations Director and Managing Director of Special Events to track committed exhibitors and festival vendors complete all proper paperwork (contract & COIs).

Coordinate and update site materials such as signage, layouts, contact lists, and day-of-event information.

Communicate and plan with the Volunteer Coordinator about volunteer placement in festival.

Answer and direct public inquiries about events via phone, email and social media.

Bike the Drive

Serve as Site Manager of the festival for Bike the Drive held over Labor Day weekend.

Assist with signage around the festival and for tents.

Lead the set-up, operation, and tear down of the festival footprint

Scout space and assist Associate Director of Events with determining festival layout and festival maps.

Serve as main point of contact for all deliveries and load-in at Butler Field; provide customer service and troubleshoot, as necessary.

Oversee bin packing for festival tents and supplies.

Assist with training of staff and volunteer managers.

Participate in obligatory organization-wide events and activities.

Participate in the implementation of ATA’s Racial Equity Action Plan.

Special events experience, especially with large outdoor events.

Minimum 1-2 years of special events coordination, production, logistics or related experience with knowledge of the professional standards for event coordination.

Physical Requirements: Able to:

Lift and carry items up to 25 lbs.

Operate a computer.

Sit at a desk for extended periods.

Stand, walk and be on your feet outdoors for extended periods.
Preferred Experience

Valid driver’s license and comfortable driving around Chicago.

Spanish speaker or bilingual is a plus.

Certification or experience operating a forklift, pallet forks, and passenger utility vehicles.
